It is possible to export the metadata and technical information for all assets within a folder. This can be useful if you want to review the tagging or technical info for a whole page of assets, e.g. check that they all have keywords applied or that they are all of a minimum resolution.
How to Export tags and Metadata
There are multiple ways to do this:
- Exporting a Full Asset Folder (System Admin Only):
- Navigate to the page you wish to export the associated metadata from.
- Hover over ‘More’ in the bottom admin bar and select "export tags and metadata". - Exporting Select Assets from a Folder (All Users):
- Navigate to the page you wish to export the associated metadata from.
- Click on "select all" on the top right to select all assets on the current page, or highlight the specific assets you'd like.
- Click the "export tags and metadata" icon on the (top) action bar. - Exporting Select Assets from Search Results (All Users)
- Go to the search.
- Look for the assets needed, or use the filters on the left side to drill down the assets.
- Click select all or highlight the assets you want to export.
- Click the "export tags and metadata" icon on the (top) action bar.
- Some assets will use a different metaset to one another, so you'll be taken to a screen where you can export a sheet per metaset:
- Click on each metaset to go to the export page for each metaset.
Export Screen
It is possible to export the information as either an Excel Spreadsheet or an HTML table.
You can choose to select the meta and technical information you would like to export. The serial number is mandatory; and while it doesn't state as such, we recommend to always export the title as well to avoid issues with importing metadata and tags, until this is resolved in the import section (see Import tags & metadata for more info).
Current bugs to note: You must have the folder name selected when checking what info to export, otherwise an error is received.
Upon clicking submit, if you downloaded an MS Excel file and once you open the file on your desktop, a pop up will appear.
This is because the downloaded file isn't in native Excel format. Click yes, and then re-save the file as an Excel Workbook.
This information will then be collated and can be edited and imported back into the system. Please click here for more information on how to do that.
Note that on the import, title is currently a mandatory field (though it is not specified as such), and isn't on the export option - we recommend you always export the title as well to avoid issues with importing metadata and tags.
Please Note: this function works on ASSETS ONLY - you cannot use this function to export W2P template tags. This isn't currently possible.
